Camp Jabez is grateful for the families, campers, and groups who trust us. This policy describes how we collect, use, and care for personal information when you visit our website, contact us, register a camper ages 8 to 17, book a company retreat, or support our ministry.

If you have questions, please reach out using the contact details at the end of this page.

Information we collect

What we collect depends on how you connect with us. It may include:

  • Contact details: name, email, phone number, and mailing address.
  • Messages and inquiries: what you tell us when asking about camp, planning a retreat, or applying to work with us.
  • Camper registration details: camper name, date of birth, parent or guardian contacts, emergency contacts, and permissions. This may also include health information, medications, allergies, dietary needs, and accommodation requests.
  • Retreat group details: your company or group name, organizer contacts, attendee lists, lodging and meal needs, and event preferences.
  • Payment and donation records: amounts, payment status, and billing details handled through our payment providers.
  • Website activity: technical information such as IP address, browser and device type, pages viewed, and how you interact with our site and emails.

Please send sensitive camper information only through our registration system or another method our staff provides, not through a general contact form or email.

How we use it

We use personal information to run our programs well and keep campers and guests safe. For example, we use it to:

  • Answer your questions and requests.
  • Process camper registrations, retreat bookings, payments, and gifts.
  • Plan for each camper's health, safety, and accessibility needs.
  • Send confirmations, receipts, packing lists, reminders, and schedule updates.
  • Share camp news, upcoming events, and ways to support Camp Jabez.
  • Keep accurate records, improve our services, and meet legal and insurance obligations.

Who receives your information

We do not sell personal information. We share it only as needed to serve you:

  • Our staff and volunteers who need it to do their jobs, such as counselors, nurses, and kitchen staff caring for a camper.
  • Service providers that help us operate, such as Campwise (our registration, payment, and email system) and our website host. They may use the information only to provide services to us.
  • Medical providers and emergency responders when needed to protect a camper's or guest's health or safety.
  • Legal and safety disclosures when required by law, or when reasonably necessary to protect people, respond to legal requests, or prevent fraud.

When you use a third-party service through our website, that provider's own privacy policy also applies.

How long we keep it

We keep personal information only as long as we reasonably need it for the purposes in this policy. That includes running programs, caring for campers, keeping financial records, and meeting legal or insurance requirements.

How long we keep something depends on what it is. Some camper and financial records must be kept after a session ends, even if you stop receiving our emails. You can contact us to ask about retention or to request deletion.

How we protect it

We use reasonable administrative, technical, and physical safeguards to protect personal information from loss, misuse, and unauthorized access. Camper health records are available only to staff who need them.

No website or storage system is perfectly secure. Please keep your account login private, and tell us right away if you think your information has been misused.

Cookies and analytics

Our website may use cookies and similar tools to make the site work, remember your preferences, and show us which pages are most helpful. We may use Google Analytics for this.

Embedded features such as maps, videos, registration forms, and donation pages may set their own cookies. You can block or delete cookies in your browser settings, though some site features may not work as expected.

Registrations, retreats, and donations

We use trusted third-party services to handle camper registration, retreat bookings, payments, and donations. When you complete a transaction, both Camp Jabez and that provider may receive your information.

We receive what we need to serve you, such as contact details, camper or attendee information, amounts, and payment status. Card payments are processed by Campwise, and Camp Jabez does not store full card numbers. Please never send card information by email or through our contact form.

Email

If you sign up for our emails or ask for updates, we will send news about camp, events, and ways to get involved. You can unsubscribe anytime using the link in any marketing email or by contacting us.

Even after you unsubscribe, we may still send messages about an active registration, booking, or gift, such as receipts, confirmations, and schedule changes. Our email service may tell us whether messages were delivered, opened, or clicked so we can improve them.

Photos and media

We love sharing the joy of camp. Staff may take photos and videos during camp sessions and retreats to share with families and to tell the story of our ministry on our website, social media, and printed materials.

Parents and guardians give photo permission by signing a waiver during registration. We do not publish campers' full names with their photos. To opt out, or to ask us to remove a photo, please contact us.

Your choices

You can contact us to:

  • Ask what personal information we hold about you or your camper.
  • Correct or update your information.
  • Request deletion of your information.
  • Change your email preferences.

We may need to confirm your identity, or your authority to act for someone else, before we respond. Some records may need to be kept for legal, financial, or safety reasons. Depending on where you live, you may have additional privacy rights, and we will honor requests as the law requires.

Children's privacy

Our summer camps serve young people ages 8 to 17, and their safety is at the heart of what we do. Registration and inquiries are meant to be completed by a parent, guardian, or authorized group leader, not by campers themselves.

We collect information about campers from these adults to prepare for each camper's needs and provide a safe experience. Parents and guardians may contact us to review, correct, or request deletion of their child's information, subject to recordkeeping requirements.

If you believe a child under 13 has sent us personal information through our website without a parent's involvement, please contact us and we will review it and take appropriate action.

Changes to this policy

We may update this policy as our programs or practices change. When we do, we will post the new version here and update the effective date. Effective date: October 26, 2026.
